Retention insights for early childhood services
Independent, structured exit interviews to understand why your staff member left and inform your next hiring decision.
These terms apply specifically to Workforce Insight engagements. They sit alongside, and do not replace, Early Years Talent’s standard terms of business. where applicable.
1. Scope of service
Workforce Insight is an independent service designed to gather, interpret and summarise feedback from departing and/or current staff to support informed decision-making.
The service may include:
- coordination and scheduling of conversations
- structured, independent interviews conducted externally
- analysis of responses across one or more participants
- a de-identified report outlining key themes, observations and practical considerations
The service provides insight to inform business decisions. It does not constitute operational, legal, or human resources advice.
2. Engagement and payment
Engagement is confirmed upon acceptance of the proposed scope and pricing.
A tax invoice will be issued upon confirmation. Payment is required prior to commencement unless otherwise agreed in writing.
Work will commence once payment has been received.
3. Interview coordination
Early Years Talent will make reasonable efforts to coordinate conversations with nominated participants.
Participation is voluntary and subject to each individual’s availability and willingness to take part.
Where a participant does not respond or declines, Early Years Talent will notify the client and may proceed based on available information, unless otherwise agreed.
Participant incentives (optional)
Where agreed, a small gift card (typically $20–$30, such as a Coles Myer Gift Card) may be offered to participants as a thank-you for their time. It may be used where participation is uncertain or where additional encouragement is appropriate.
This is optional and funded by the client. The incentive is not contingent on the content of the feedback provided.
4. Confidentiality and reporting
All conversations are conducted independently.
Feedback is reported in a de-identified format and is not attributed to individuals.
Where appropriate, anonymised excerpts or paraphrased quotes may be included to illustrate key themes and support interpretation. These are selected to provide context and clarity while ensuring individuals cannot be identified.
Reports are structured to highlight patterns, themes and observations rather than provide verbatim transcripts. Quotes are used to support clarity, not to attribute feedback.
5. Limitations
Insights are based on information shared by participants and are intended to inform, not replace, decision-making.
Findings may reflect individual perspectives and are interpreted in context to identify potential patterns.
Early Years Talent does not guarantee specific outcomes, including retention, performance or future hiring success.
6. Cancellations and changes
Where a scheduled conversation needs to be rescheduled, reasonable efforts will be made to accommodate alternative times.
If, after reasonable attempts, conversations cannot be completed due to non-response or unavailability, Early Years Talent will confirm next steps with the client.
Where work has commenced, the engagement will be considered complete once reasonable delivery of the agreed scope has been undertaken.
7. Client responsibilities
The client confirms they are authorised to engage the service and to provide contact details for relevant participants.
The client is responsible for ensuring participants are appropriately informed of the engagement and have consented to being contacted.
The client agrees to provide accurate and relevant context to support the effectiveness of the engagement.
8. Use of materials
Reports and materials provided are for the client’s internal use only.
They are not to be reproduced, distributed or relied upon by third parties without prior written consent.
9. Non-solicitation
During the course of the engagement and for a period of 6 months following completion, the client agrees not to directly engage, solicit or employ any candidate or individual introduced by Early Years Talent in connection with the service, without prior written consent.
In the same period, Early Years Talent will not actively approach or solicit the client’s employees for the purposes of recruitment.
Where an employee of the client independently applies for a role or expresses interest through other channels, Early Years Talent may proceed. The client will be informed before progressing with the individual, and any communication is made.
The intention of this clause is to ensure the service is used for insight purposes and not as a means of sourcing or accessing candidates.
This clause does not restrict the client from engaging their own employees or individuals independently known to them prior to the engagement.
10. Timing and delivery
Timeframes provided relate to the delivery of the report following completion of all scheduled conversations.
The coordination and scheduling phase may vary depending on participant availability and responsiveness.
Standard delivery timeframes (e.g. 5 business days) commence once all interviews have been completed. Most reports are delivered within 5 business days of completing conversations.
Early Years Talent will make reasonable efforts to progress coordination efficiently and will keep the client informed where delays occur.
Where delays are caused by participant availability or non-response, timelines may be extended accordingly.
11. Acceptance of terms
By confirming the engagement in writing, the client acknowledges they have read and agree to these terms.
Confirmation may be provided via email, form submission, or acceptance of the issued invoice.
